Privacy Policy

EducAitor (“EducAitor”, “we”, “us”) provides an AI-powered professional development platform that helps teachers get private, constructive feedback on their own teaching. This policy explains what personal data we collect, why we collect it, how long we keep it, and the rights you have over it.
It applies to the EducAitor mobile apps, the EducAitor website, and any related services (together, the “Service”).

1. Who is responsible for your data
EducAitor is operated by EducAitor Ltd, a company registered in England and Wales (company number 17163883), with its registered office at Rutters Garth, Esh, Durham, DH7 9QS.
How responsibility for your data is shared depends on how you use EducAitor:
- If your school or organisation invited you to EducAitor, your school is the data controller for the professional development data created through the Service, and EducAitor acts as a data processor on the school’s behalf, under a data processing agreement. Your school decides how EducAitor is used within its setting.
- If you signed up independently (a personal account not linked to an organisation), EducAitor is the data controller for your data.
- For account registration, service administration, security and billing, EducAitor acts as a controller in all cases.
2. What data we collect
Account data. Your name, email address, role (for example teacher or school leader), school or organisation, subject and year group information you choose to add, and your language preference.
Lesson recordings. When you choose to record a lesson, the app captures audio of that lesson. **Audio is used solely to produce a transcript and feedback report, and is automatically deleted once processing is complete.** We do not keep lesson audio.
Transcripts and feedback reports. The written transcript of your recorded lesson and the AI-generated feedback report built from it. These belong to your professional development record and are private to you by default (see section 5).
Wellbeing check-ins. If you use the optional wellbeing feature, we store the check-in responses you submit.
Messages and comments. Messages you send to the in-app coaching assistant, and comments left on reports you have chosen to share.
Technical and usage data. Device type, operating system version, app version, push notification token (if you enable notifications), log data and diagnostic information needed to run and secure the Service.
What we do not collect. We do not ask for or store pupil names, registers or rosters. The Service is designed around the teacher’s own development, not pupil records.
3. Lesson recordings and people other than you
A classroom recording may incidentally capture the voices of pupils or other people present. EducAitor is designed to minimise this: audio is deleted after processing, feedback is focused on teaching practice, and no attempt is made to identify anyone other than the account holder.
Where EducAitor is used within a school, the school is responsible for deciding how recording is used in its setting, including any notices to staff, pupils and parents that its own policies or local law require. Guidance for schools is available from support@educaitor.ai..
4. Why we process your data and our lawful bases
Creating and managing your account, and providing the core Service (transcription, feedback reports, sharing you initiate) — performance of a contract. Where a school is the controller, we act on the school’s instructions under its own lawful basis (typically legitimate interests or public task).
Optional wellbeing check-ins — consent. The feature is optional and can be left unused.
Service notifications and in-app messages — legitimate interests in keeping you informed about your own reports and account. Preferences can be changed in settings.
Security, fraud prevention, debugging and service improvement — legitimate interests in running a safe, reliable service.
Responding to lawful requests — legal obligation.
We do not sell personal data, and we do not use your lesson content for advertising.
5. Who can see your data
Privacy by default. Your transcripts, feedback reports and coaching conversations are private to you. Nobody at your school — including school leaders — can read an individual report unless you choose to share it.
Sharing you control. If you share a report with a school leader, that leader can view it and leave comments. Schools with leadership access also see aggregated, school-level analytics (for example average scores and trends across shared sessions); these views are designed around trends, not surveillance of individuals.
EducAitor staff do not routinely access your lesson content. Limited access may occur only where necessary to investigate a fault or security incident you have reported, or where the law requires it, and such access is controlled and logged.
Service providers (sub-processors). We use a small number of vetted providers to run the Service, under contracts that restrict them to processing on our instructions:
- cloud hosting and storage infrastructure;
- speech-to-text transcription;
- AI analysis that generates feedback reports;
- push notification delivery.
A current list of sub-processors, including processing locations, is available on request from support@educaitor.ai. Our AI providers are contractually barred from using your content to train their models.
6. Where your data is stored
Your data is hosted in the European Union, with UK-based hosting available for organisations that require it. Where a transcript is processed by an AI provider outside the UK/EU, the transfer is protected by recognised safeguards such as UK International Data Transfer Agreements, EU Standard Contractual Clauses, or an adequacy decision.
7. How long we keep your data
- Lesson audio — deleted automatically as soon as the transcript and report are generated.
- Transcripts and feedback reports — kept while your account is active, so you can track your development over time. You can delete individual sessions at any time.
- Wellbeing check-ins — kept while your account is active; deletable on request.
- Account data — kept while your account is active.
- When you delete your account (see section 8), all of the above is deleted, except minimal records we must keep for legal reasons.
Backups are retained for a short, fixed period before being overwritten.
8. Your rights
Under UK GDPR and EU GDPR you have the right to:
- access the personal data we hold about you;
- correct inaccurate data;
- delete your data (“right to erasure”) — you can delete your account directly in the app under Settings, which removes your recordings, transcripts, reports and profile;
- export your data in a portable format;
- object to or restrict certain processing;
- withdraw consent where processing is based on consent (for example wellbeing check-ins);
- complain to the Information Commissioner’s Office (ico.org.uk) or your local supervisory authority.
To exercise any of these rights, use the in-app options or email support@educaitor.ai. If your school is the data controller, we may refer your request to the school, but we will always help you route it. We respond within one month.
9. Security
We protect your data with encryption in transit (TLS) and at rest, role-based access controls, authenticated APIs, environment separation, and logging and monitoring. Lesson audio has the shortest possible life: it exists only for as long as processing takes. No system is perfectly secure, but if a breach affecting your personal data ever occurs, we will notify affected users and controllers, and the ICO where required, without undue delay.
10. Children
EducAitor accounts are for education professionals and are not offered to children. Classroom audio may incidentally capture pupils’ voices; this is handled as described in section 3, with audio deleted after processing and no pupil profiles created.
11. Cookies and website analytics
Our website uses only essential cookies and privacy-respecting analytics needed to operate and improve the site. The mobile app does not use advertising trackers.
12. Changes to this policy
We may update this policy as the Service evolves. We will post the updated version here with a new “last updated” date, and notify you in the app if the changes are significant.
